How to Respond to Google Reviews: A Practical Guide for Businesses
Getting a Google review is only part of the process.
How you respond can also shape how potential customers perceive your business.
A professional response shows that your business pays attention to customer feedback and is willing to engage with customers.
Respond to positive reviews
When someone leaves a positive review, you don't need to write a long response.
A simple, genuine thank-you is often enough.
For example:
“Thank you for the kind review, Sarah. We're glad you were happy with the service!”
If the customer mentions something specific, you can respond to that detail.
This makes the response feel more personal rather than automated.
Don't copy and paste the same response
If every review receives exactly the same response, your profile can feel less personal.
You don't need a completely different paragraph every time.
Just acknowledge something specific when appropriate.
For example:
Customer:“Really happy with the haircut. Exactly what I asked for.”
Response:“Thank you, Sarah! We're glad you were happy with the haircut and that we could get the result you wanted.”
Short. Natural. Personal.
Respond professionally to negative reviews
Negative reviews can be uncomfortable.
But responding emotionally usually isn't helpful.
Instead:
Read the review carefully.
Keep your response professional.
Acknowledge the customer's experience.
Avoid sharing private information.
Where appropriate, offer to continue the conversation privately.
For example:
“We're sorry to hear that your experience didn't meet your expectations. We'd appreciate the opportunity to understand what happened. Please contact us directly so we can look into this further.”
You don't need to win an argument publicly.
Your response is also being read by future customers.
Don't reveal private customer information
Be careful about what you say publicly.
Even if you know exactly who the customer is and what happened, a public response isn't the place to disclose private details about their appointment, purchase or personal circumstances.
Keep the response focused on the situation without exposing information the customer hasn't made public.
Don't offer incentives for positive reviews
Your response strategy should never become an attempt to manipulate your review profile.
Google's policies prohibit businesses from offering incentives in exchange for reviews.
Reviews should reflect genuine customer experiences.
Can you remove a negative review?
Not simply because it's negative.
Google states that businesses can report reviews that violate its content policies, but a review isn't automatically removed just because a business disagrees with it.
If a review appears to violate Google's policies, you can report it through the appropriate process.
Why responding matters
Google recommends that businesses respond to reviews, and notes that helpful responses can show customers that the business values their feedback.
But don't think of responding as an SEO trick.
The bigger benefit is reputation.
A potential customer reading your reviews can also see how you communicate with people who have already done business with you.
Keep it simple
A good review-response strategy doesn't need to take hours.
Aim for responses that are:
Professional.
Genuine.
Relevant.
Respectful.
Thank customers for positive feedback and handle criticism calmly.
Your Google reviews aren't just a collection of stars.
They're also part of how potential customers experience your business online.
